This page explains, at a high level, how 123tutors handles personal information supplied through the platform and related support channels.
Information we handle
Depending on the service, we may process names, contact details, billing details, academic information, bursary-linked records, uploaded documents, lesson history, and account activity needed to provide tutoring and platform support.
Why it is used
We use this information to run tutor allocation, lesson administration, student support, bursary reporting, billing, authentication, platform security, and operational communication.
Access and disclosure
Access is limited to the level required for students, tutors, bursary administrators, and authorized internal operators to use the platform. Information may be shared when necessary to deliver the service, comply with legal obligations, or investigate misuse of the platform.
Your rights under POPIA
As a data subject under the Protection of Personal Information Act, you may request access to the personal information we hold about you, ask us to correct it if it is inaccurate, and request that it be deleted. You can submit a deletion request from your account dashboard, or by contacting us directly.
We will respond to any request within 30 days. Once a deletion request is approved, your account is deactivated immediately and your personal information is permanently erased after a 30-day grace period, during which you may cancel the request and have your account restored.
Data retention
We keep personal information only as long as it is needed for the purposes described above, or as long as the law requires. Certain records — in particular tax invoices, payment records, and financial ledgers — must be retained under the Income Tax Act and the Companies Act, generally for five to seven years. Where a deletion request covers such records, we retain the underlying transaction but remove the details that identify you, so the record can no longer be linked back to you.
Information that exists only to serve you — messages, lesson activity, learning progress, application material, and verification documents — is deleted outright.
